Privacy Policy
This page explains, in plain language, what information EpicTech collects through this website, why we collect it, and how it's stored and used. It describes what this site actually does — nothing more, nothing less.

EpicTech collects information you choose to give us through two places on this site:
1. The "Get Started" lead form
When you fill out the multi-step form at /get-started/, we collect whatever fields you complete, which may include:
- Your name, job role, email address, and phone number
- Your company name, industry, and company size
- How you heard about us (referral source)
- The areas you're interested in (IT, security, growth/marketing, software) and specific services you're asking about
- Challenges you're facing, your budget range, and your timeline
- Your current support setup (in-house, outsourced, none), urgency, and who's involved in the decision
- Your preferred contact method, work model (in-office/hybrid/remote/multi-location), and the tools/platforms you currently use
- What success looks like for you, other stakeholders involved, a target date, and any free-text details you write in
We also automatically log the IP address and browser user-agent string associated with a submission, mainly to prevent spam and abuse of the form.
2. The electronic signature (agreement signing) process
If EpicTech sends you a link to review and sign a document, the signing page collects the name and email address you enter, the typed text you use as your signature, and — automatically — the IP address, browser user-agent, and timestamp at the moment you sign. See "The e-signature process" below for details.
What we don't collect
We don't collect payment card numbers, government ID numbers, or health records through this website. We don't use tracking pixels, session-replay tools, or third-party analytics scripts on this site (see Cookies & third-party tracking below).
Why we collect it
We use the information you submit to route your inquiry to the right person on our team, understand what you need before we reach out, and follow up with relevant next steps — for example, an initial reply, a proposal, or a scheduling link. Form submissions are stored as a "contact" record in our internal system so we don't lose track of a conversation or ask you to repeat yourself.
Depending on the inquiry, submitting the form may also enroll your contact record in an automated follow-up email sequence run from our own systems (for example, a short series of check-in emails if we haven't heard back from you). These emails come from EpicTech directly — see "Emails we send" below.
How it's stored
Information submitted through the form and the e-signature flow is stored in a private MySQL database that backs this website, accessible only through our internal admin system (see Security practices below). It is not exported to, synced with, or resold through any external marketing platform, data broker, or advertising network. We do not sell personal information.
Who can see it
Submitted information is visible to authorized EpicTech staff through the internal admin system, which requires a login. We don't share the information you submit with third parties for their own marketing purposes. We may disclose information if required to do so by law, or to a service provider strictly to the extent necessary to operate this site (for example, our web hosting provider, which stores the database and processes outgoing email on our behalf as a normal part of running the site — it does not use your data for its own purposes).
The e-signature process
EpicTech's agreement signing feature lets a customer review a document and sign it electronically, without creating an account. When you sign a document through a link we send you, we record:
- The name and email address you type into the signing form
- The text you type as your typed signature
- The IP address and browser user-agent your device sends at the moment of signing
- The date and time you signed
- A one-way cryptographic (SHA-256) hash of the exact document text you agreed to, so we can later verify the signed text hasn't been altered
This information becomes part of the permanent legal record of that signed document and is retained for as long as the underlying agreement may be relevant (including after the engagement ends), consistent with standard practice for business agreements. After you sign, we email a copy of the signed document to the email address you provided, so you have your own record of exactly what you agreed to — see the Terms of Service for more on how this satisfies electronic signature law.
Cookies & third-party tracking
As of the date at the top of this page, this website does not load any third-party analytics, advertising, or tracking scripts — no Google Analytics, no Facebook/Meta Pixel, no session-replay or heatmap tools, and no ad-retargeting tags. We reviewed the site's own code to confirm this rather than simply asserting it; if that ever changes, we'll update this page to describe what was added and why.
The site does load web fonts from Google Fonts (fonts.googleapis.com / fonts.gstatic.com), which is a standard font-delivery service, not an analytics or advertising tool — loading a font causes your browser to make a request to Google's servers for that font file, which is why we're disclosing it here for transparency.
The admin login system and the "Team login" area use a session cookie strictly to keep authorized staff logged in — this cookie is not used to track visitors and isn't set for ordinary visitors browsing the public site.
Emails we send
When you submit the form, sign a document, or are enrolled in a follow-up sequence, emails are sent directly by EpicTech's own servers — we do not hand your email address off to a third-party email marketing or advertising platform to send these messages. You can ask us to stop a follow-up sequence at any time by replying to any email you receive from us or by using the contact options on this site.
Data retention & your choices
We keep contact and form records for as long as reasonably necessary to respond to your inquiry, maintain our business records, and (where applicable) support a signed agreement. If you'd like us to update, correct, or delete the information we have on file for you, contact us using the Get Started form or reply to any email you've received from us, and we'll act on your request unless we're required to retain certain records (for example, a signed agreement) for legal or accounting reasons.
Security practices
We take reasonable, honest steps to protect the data this site collects. The internal admin system that staff use to view contacts, submissions, and agreements requires a login, uses server-side sessions, and automatically locks an account out for a period of time after repeated failed login attempts. Database access is restricted to the application itself using credentials that are not exposed publicly. This site runs on standard commercial web hosting infrastructure; we do not claim any specific third-party security certification (such as SOC 2 or ISO 27001) for that hosting, because none currently applies, and we won't claim one we don't have.
